Splash and Spark Table Vendor Fee

Vendor fees help support event operations and farm programming at Tiny Hiney Farm, Inc. These payments are considered event participation fees and are not tax-deductible charitable donations.

EVENT SETUP & BREAKDOWN

Vendor Check-In & Setup

Vendors may begin setup during the following times:

Standard Vendors:

  • Setup begins: 1.5–2 hours before event start

  • All vehicles must be unloaded and moved to vendor parking no later than 30 minutes before opening

Food Trucks:

  • Setup begins: Up to 2.5 hours before event start

  • Must be fully operational before gates open

Breakdown

  • Vendors must remain setup for the duration of the event unless approved otherwise

  • Early breakdowns negatively impact guest experience and future event consideration

  • Breakdown begins only after event closing unless approved for emergency reasons

Please leave your area clean and free of trash before departing.

VENDOR FEES

Vendor fees are non-refundable unless:

  • The event is canceled by Tiny Hiney Farm, Inc.

  • A cancellation exception is approved by event management

Vendor fees reserve your space and help cover operational event costs.

VENDOR SPACE INFORMATION

Standard vendor spaces:

  • Approx. 10x10 unless otherwise discussed

  • Vendors must provide their own:

    • tent

    • tables

    • chairs

    • extension cords

    • display materials

Limited electric may be available upon request but is NOT guaranteed.

WEATHER POLICY

This is primarily an outdoor event.

Events may continue rain or shine unless severe weather creates unsafe conditions. Vendors should prepare accordingly with tent weights and weather-appropriate setup materials.

Tiny Hiney Farm, Inc. is not responsible for weather-related damage, loss, or cancellations beyond our control.

FAMILY-FRIENDLY ENVIRONMENT

All vendors must maintain a family-friendly atmosphere.

The following are prohibited:

  • Offensive or explicit materials

  • Drug-related items

  • Weapons sales

  • Political or discriminatory displays

  • Aggressive sales tactics

Tiny Hiney Farm, Inc. reserves the right to request removal of inappropriate materials or vendors.

FOOD VENDORS

Food vendors/food trucks must:

  • Hold all required licenses and permits

  • Follow all health department regulations

  • Maintain clean food prep and serving areas

  • Provide trash containers at their setup

Tiny Hiney Farm, Inc. is not responsible for food handling compliance.

ANIMAL SAFETY RULES

Because this is an active horse property:

  • Do not feed horses without permission

  • Do not enter fenced areas unless invited by staff

  • Children must be supervised at all times

  • Loud noises, fireworks, or disruptive behavior are prohibited near animals

Please help us maintain a calm and safe environment for both guests and animals.

VEHICLE & PARKING RULES

  • Vendor vehicles must be moved to designated parking after unloading

  • Do not block fire lanes, gates, or drive paths

  • Limited close parking may be available for trailers or food trucks only
     

SALES & LIABILITY

  • Vendors are responsible for collecting and reporting their own sales tax if applicable

  • Vendors assume responsibility for their own products, setup, inventory, and equipment

  • Tiny Hiney Farm, Inc. is not liable for theft, damage, injury, or loss

Participation in the event indicates acceptance of these terms.

SOCIAL MEDIA & PROMOTION

We encourage vendors to promote the event!

Please tag: Tiny Hiney Farm, Inc.

Sharing event posts helps increase attendance and supports the rescue mission.

CANCELLATIONS

If you can no longer attend, please notify us as soon as possible so we may offer the space to another vendor.

No-call/no-show vendors may not be approved for future events.
